How does process improvement help small businesses?

There are honestly lots of benefits of looking at process improvement in your business, because let’s face it - we are juggling so much.

There is only so much time and only so much of you to go around!

You’re already being everything to everyone, so the only way is to get more efficient at how you do things and continually improve and streamline. The biggest thing we all want is more time. And whilst it’s not a magic bullet, it can get you some.

So, how will it really help?

  • Get some time back – Automate repetitive tasks and focus on what actually grows your business.

    Okay, let’s get real, you’re not going to be that slick that you can watch your latest Netflix binge back to back ALL day, but you might be able to take a proper lunch break and go to your kids’ sports day as a starting point.

  • Reduce stress & overwhelm – Simple, clear systems help you feel and be in control.

    A small business is all-consuming, and your head will always feel full and spinning like the waltzer back in your local park circa 1995 (if you weren’t born then, I am crying into my coffee mug! - I feel old!). But you will feel less frazzled and dazed.

  • Deliver a better client experience – Streamlined processes make working with you smoother and more professional.

    You know how you can sometimes feel a bit of a fraud because it’s not all slick and shiny? I know, I’ve been there. Well, you’ll have those feelings less often.
    Plus, you’ll be more present with your favourite clients because it’s all in hand. Instead of nodding along and thinking “don’t forget to send that invoice and buy more milk”*because your head will be less cluttered.

    And be able to deliver more of what you want for clients. You’ll be able to think and get your amazing thoughts and ideas flowing because there is less noise.

    *I can’t guarantee you’ll get the milk, but we can work on that!

  • Make more money or do more of what you want– More efficiency means more capacity.

    This might mean you can serve more clients (if you want to).
    Or it could mean you have breathing space to take on new opportunities.
    Have time to develop your business instead of working on everything for everyone else.
    And maybe you can finally diversify your income with those passive income projects on your to-do list forever.
    Which can all lead to increased income.

  • Improve the balance and flow – With better systems, you can step away from work without everything falling apart or constantly feeling behind. 

    Work-life balance is a funny old phase. I’m more of a balance and flow type of person. If I can stick to my own boundaries about work and life and not feel guilty, I’m winning. Figure out what that means for you and get more of it. How do you want to feel and what do you want to do more of that makes you happy?

So now I’ve moved you from “ugh processes?!?” to “OK, I think this might be something I’ll have a go it”, you are wondering how to go about this boring exercise. Well, read on, my friend.

Where to start with process improvement?

Firstly, get yourself a cuppa, a treat and have a read through these 5 pointers.

1. Identify time drains

Don’t hate, I know this is boring BUT it’s insightful and you need to know.

Track how you spend your time for a few days, ideally a week. Identify tasks that take too long, feel frustrating, or you know could be automated.

2. Document & simplify your workflows

Write down how you handle key business activities like onboarding clients, invoicing, or content creation. Look for ways to simplify or cut unnecessary steps.

3. Automate & systemise

There are so many ways to do this (even if you hate technology!). It’s about finding all the little things, because they honestly add up to great time savers.

  • Use tools to automate tasks.

  • Create email templates for common responses.

  • Set up recurring invoices and payments to save time.

4. Create a routine & structure

This can be hard especially if you have a neurodivergent brain. It’s boring and you want to rebel it. So start small.

  • Plan your week in advance so you know what to focus on each day.

  • Use time-blocking to dedicate focused work periods to specific tasks or areas of work. Don’t open your diary every day and fill it with meetings.

  • Set boundaries to avoid overworking.

5. Outsource or batch work

Even as a solo business, you don’t have to do everything alone. Consider outsourcing small tasks like bookkeeping or admin, or batch tasks like emails and content creation, to improve efficiency. BUT make sure you do the important groundwork first, otherwise you’ll just create yourself more problems!
